Our editorial and research work may include publicly available professional information about individuals, such as names, titles, affiliations, public statements, publications, biographies, and professional contact details.

Where we receive confidential client information, non-public business information, or personal information in connection with an advisory engagement, that information is also governed by any applicable written agreement between AIxEnergy and the client.

3.5 Sensitive Personal Information

AIxEnergy does not seek to collect sensitive personal information such as precise geolocation, government identification numbers, financial account credentials, health information, biometric identifiers, race or ethnicity, religious beliefs, union membership, sexual orientation, or children’s information.

Please do not submit sensitive personal information unless it is strictly necessary for a specific engagement and we have agreed in writing to receive it. If we learn that we have collected sensitive personal information that is not necessary for our services, we may delete it.

4. How We Use Information

We use personal information for the following purposes:

To operate, maintain, and improve AIxEnergy.io, newsletters, memberships, and related services; deliver free and paid content; manage subscriptions and accounts; process payments and invoices; provide research, advisory, consulting, and market-intelligence services; communicate with readers, subscribers, contributors, clients, and prospective clients; review, edit, publish, and promote contributed content; administer events, webinars, briefings, and surveys; personalize content and understand reader interests; analyze site performance and audience trends; protect our systems from fraud, abuse, unauthorized access, and security threats; comply with legal, tax, accounting, contractual, and regulatory obligations; enforce our terms, agreements, and policies; preserve legal claims and business records; and develop new editorial, research, subscription, and advisory offerings.

We may also use aggregated, anonymized, or de-identified information for research, analytics, benchmarking, editorial planning, product development, and business strategy. We do not attempt to re-identify information that has been properly de-identified, except as permitted by law for security, compliance, or validation purposes.

Where applicable privacy law requires a legal basis for processing, we rely on one or more of the following grounds:

Contractual necessity, when processing is needed to provide a subscription, research product, advisory service, event registration, contributor arrangement, or other requested service.

Legitimate interests, when processing supports our editorial operations, research, audience development, platform security, business communications, fraud prevention, service improvement, and ordinary business administration, provided those interests are not overridden by your rights and interests.

Consent, when you subscribe to certain marketing communications, accept non-essential cookies where required, participate in optional surveys, or otherwise give us permission to use your information for a specific purpose.

Legal obligation, when processing is necessary to comply with tax, accounting, corporate, regulatory, court, law-enforcement, or other legal requirements.

Protection of rights and safety, when processing is necessary to protect AIxEnergy, our users, clients, contributors, systems, or the public from fraud, security threats, abuse, or legal claims.

6. Cookies, Analytics, and Similar Technologies

We use cookies, pixels, tags, local storage, server logs, and similar technologies to operate our website, maintain secure sessions, remember preferences, measure site performance, understand readership, improve editorial focus, and support subscription or membership functionality.

Some cookies are necessary for the website to function. Others are used for analytics, performance measurement, or marketing-related purposes. Depending on your location and applicable law, we may request consent before placing non-essential cookies.

You can control cookies through your browser settings. Blocking cookies may affect login, membership, payment, preference, analytics, or other site functions.

We may use third-party services such as Ghost, Google Analytics, Stripe, PayPal, Google Workspace, email delivery platforms, and similar vendors. These providers may collect or process information according to their own privacy policies and contractual obligations.

7. Newsletters, Memberships, and Marketing Communications

If you subscribe to AIxEnergy newsletters, memberships, alerts, research updates, event notices, or marketing communications, we may use your contact information and engagement data to send relevant communications.

You may unsubscribe from marketing emails at any time by using the unsubscribe link in the email or by contacting us at bowens@aixenergy.io. We may still send non-marketing messages related to your account, subscription, payment, legal notices, security, contributor relationship, or client engagement.

8. Contributors, Authors, Experts, and Guest Writers

If you submit an article, commentary, expert response, interview, biography, image, headshot, or other material for potential publication, we may use the information you provide to evaluate, edit, publish, attribute, promote, archive, and distribute that content.

Published contributor information may remain publicly available as part of AIxEnergy’s editorial archive unless we agree otherwise in writing or unless applicable law requires removal. We may retain editorial records, drafts, correspondence, rights documentation, publication history, and related metadata for business, legal, archival, and editorial-integrity purposes.

9. AI Tools and Automated Processing

AIxEnergy may use artificial intelligence, machine-learning, automation, transcription, summarization, editing, analytics, research, or productivity tools to support editorial, research, administrative, and advisory workflows.

We do not use AI tools to make legally binding decisions about individuals without appropriate human review. We also do not knowingly submit confidential client information, unpublished contributor materials, or sensitive personal information into public AI systems unless authorized, protected by appropriate terms, or otherwise permitted by the relevant agreement and law.

Where AI tools are used in client work, the applicable statement of work, engagement letter, or client agreement may provide additional terms.

Successor entities, in connection with a merger, acquisition, financing, reorganization, sale of assets, transfer of business, or similar transaction, provided the recipient is bound by appropriate confidentiality and privacy obligations.

We may also share aggregated, anonymized, or de-identified information that does not reasonably identify you.

11. No Sale or Targeted Advertising Statement

AIxEnergy does not currently sell personal information for money. AIxEnergy also does not currently disclose personal information for cross-context behavioral advertising in the manner commonly understood under certain U.S. state privacy laws.

12. International Data Transfers

AIxEnergy is based in the United States, and our service providers may process information in the United States and other countries. If you access AIxEnergy from outside the United States, your information may be transferred to, stored in, or processed in jurisdictions that may not provide the same level of data protection as your home country.

Where required, we rely on appropriate safeguards for international transfers, which may include standard contractual clauses, data-processing agreements, adequacy decisions, consent, contractual necessity, or other lawful transfer mechanisms.

13. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law, contract, tax, accounting, audit, archival, dispute-resolution, or legitimate business needs.

As a general guide:

Subscriber and membership records are retained while your account is active and for a reasonable period thereafter. Billing, invoice, and tax records may be retained for at least seven years. Newsletter engagement and analytics records may be retained for up to twenty-six months or longer in aggregated or de-identified form. Editorial, contributor, publication, and archival records may be retained indefinitely where necessary to preserve the integrity, provenance, and historical record of published work.

We may delete, anonymize, or de-identify information when it is no longer needed.

14. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, misuse, or destruction. These safeguards may include HTTPS encryption, access controls, authentication procedures, vendor review, software updates, limited internal access, data minimization, and secure business processes.

No website, email system, cloud service, or internet transmission is completely secure. We cannot guarantee absolute security, but we work to maintain safeguards appropriate to the nature of the information we process.
